An organic inspection turns on one question: can you show that the organic material you received accounts for the organic goods you sold. fermt produces the balance per raw material and per finished product — opening stock, receipts, what production consumed and made, sales, waste and closing — with the difference against your physical count.
That difference is measured against everything that moved through the product in the period rather than against the closing stock, so a small gap on a large throughput reads as the small gap it is, and a large gap on a product that barely moved cannot hide behind a big denominator. No tolerance is applied, so every product with a difference appears whatever its size.

Certificates that were valid then, not now
The question asked about a specific delivery is which certificate covered it at the time, and a folder of current certificates does not answer that. Certifications attach to products and batches, so a batch inspection shows the certificate that applied on the day it was made. The same mechanism covers kosher, halal and other schemes.
Renewals belong on the calendar rather than in someone's memory. Scheduled tasks recur at a monthly interval and appear alongside production and purchasing, which is where an expiring certificate should surface — before it expires.

What if a count disagrees with the system?
Book it as a dated adjustment referencing the count sheet. Guidance expects a counted balance to be regulated into the accounts with a reference to the document and a note on larger differences, which is stronger than a difference nobody can explain.
How do we handle organic material sent to conventional production?
As its own recorded outflow, so it appears on the transfer line of the balance rather than vanishing into general consumption. That line is part of the balance schema for a reason: it is one of the first things questioned.
Can we show which certificate covered a specific batch?
Yes. Certifications attach to products and batches, so the batch shows what was valid on the day it was made rather than only what the company holds today.
